Following are some enhancements introduced in 2015.

December 2015: New Features and Improvements

New Ability to Integrate Plenty Loyalty Program into Verifone Sapphire Cash Register

With this new feature you will be able to integrate Plenti loyalty program from the www.plenti.com web-site into your Verifone Sapphire register to appear in the shift report and on the Cash Reconciliation forma as a separate MOP.

improvement to store reports: item shortages report, Inventory Progress Report, Consolidated Store Inventory Progress report

Item Shortages report, Inventory Progress report and Consolidated Store Inventory Progress report have been improved. It has been made possible to distinguish the reports' data by accounting methods - Retail and Cost.

Item Shortages Report

Item Shortages report's contents have been regrouped according to the methods of accounting applied to the item categories - Retail method of accounting and Cost method of accounting.

To expand the data, click the item you are interested in.

Inventory Progress Report

Inventory Progress report has been improved with an ability to select between the inventory accounting methods for the report - Retail method of accounting and Cost method of accounting.

Consolidated Store Inventory Progress Report

Consolidated Store Inventory Progress report has been improved with an ability to select between the inventory accounting methods for the report - Retail method of accounting and Cost method of accounting.

Improvement to Cycle-count tickets

Minor improvement has been made at Data Entry > Inventory > Cycle Count Tickets > open an inventory ticket > Convert to Excel. A new "Retail" column has been added to the Excel export.

Improvement to MAS90 Export settings

Improvement has been made at SettingsCompany > Export Settings > MAS 90. A new Output Option setting has been added under the Report Settings tab. It is currently possible to select if you want the store sales and purchases data for several locations to be exported individually or combined in one file.

New RJ Reynolds Data scan export Report

With this report, you can set up the transaction-level scan data export to the R. J. Reynolds Tobacco Company on the weekly basis. Scan data are all RJ Reynolds SKUs.

This report is only available for the cash registers with the PJR files enabled. For more information, see Enabling PJR Files

User's Home Page Redesign

CStoreOffice® user's station home page (simple view) has been redesigned for the usability purposes. Contents of the page remained the same, only the look has been changed.

Minor Improvement to the Password Requirements

Minor improvement has been made to the password requirements. For the security purposes, a limitation has been set to the ability to use spaces in the password.

This improvement affects the following forms: logging in, profile, create new employee and edit employee forms.

Some of these forms are permission-based and you might not have access to them.

Minor Improvement to the COGS by Category Report

Minor improvement has been made at Reports > Accounting > Operating Profit Estimates (Profit & Loss) > COGs by Category Report. A new "Taxes" column has been added to the report.

Minor Improvement to the Physical Inventory Form

Minor usability enhancement has been made at Data Entry > Inventory > Physical Inventory. A note about the fact that all purchases are accounted for the next shift after the physical inventory has been added.

Improvement to the Fuel Inventory Alerts Setup Form

Several usability improvements has been made at Home Page > Alerts > Alerts Setup > Fuel Inventory.

Minor Improvement to Item Updates

Minor improvement has been made to the UI of the item updates at Home Page > Item Updates > Active Promotions. "Specials" section has been renamed into "Active Promotions"; new price type promotions are currently displayed in this section as well.

Improvement to the BuyDowns Report

A new column - MA Transfers - has been added to the Buydowns report. This column shows if the buydown has been received for the items moved to the station as a result of a merchandise addition transfer (inventory transfer).

If the buydown was issued for the transferred item, the MA Transfers column contains the link with the source station name (from where the transfer was issued) to the corresponding inventory transfer report.

Improvement to the Employee List

Improvement has been made at Settings > GeneralEmployees > Employee list. A new All Locations filtering list has been added. With this list you can now filter employees by the station they are assigned to.

To view employees assigned to a specific station, select the station from the list.

Minor Improvement to Docs Scanner

Minor improvement has been made to Docs & FilesDocs Scanner. Currently, when user uploads an invoice via the Docs Scanner and changes the vendor name on the account level, he receives a notification about it when he opens the Docs Scanner the next time. No actions are required from the user.

new PJR Based reports: Risk Events Rating, Cash register video journal and Sales Chronicles

Three new store reports are now available.

Since report information is collected from cash register transaction logs (PJR files), you need to have PJR file processing enabled for your cash register. For more information, see Enabling PJR Files

Risk Events Rating

With Risk Events Rating report you can monitor the potential sources of loss - "risk events" - for the selected period. You can view sales data grouped by employees, locations and shifts.

The general purpose of the report is to monitor and analyze the risk factors to prevent the money loss.

Cash Register Video Journal

With Cash Register Video Journal report you can view all cash register transaction data and store cameras video records for the selected periods and locations.

Sales Chronicles

With Sales Chronicles report you can gather sales data for the period of 24 hours for selected location or all available locations. You can view sales data grouped by locations, cash register departments and employees.

The general purpose of the report is to collect sales data in the convenient format for the further analysis and decision making.

October 2015: New Features and Improvements

New Altria Scan Data Report

With this report, you can set up the transaction-level scan data export to the Altria Group Distribution Company (“AGDC”) (previously named Philip Morris Companies Inc.) on the weekly basis. Scan data are all Altria Group SKUs.

This report is only available for the cash registers with the PJR files enabled. For more information, see Enabling PJR Files

Improvement to Price Change Tickets

Price Change tickets have been improved with a new ability to auto-populate the "QTY" field in case the current on hand quantity equals zero. The purpose of this feature is to save time on inserting the zero values manually.

Improvement to the MOPs Summary Report

Improvements has been made to the Reports > Accounting > MOPs Summary report. Previously the report was only supported for Passport and Sapphire CRs. Now the report displays data for the Commander registers as well.

Improvement to Custom Income Item Sales Report

Two new columns "Custom Income Refund Quantity" and "Custom Income Refund Amount" have been added at Reports > Store >Loss Prevention report.

Improvement to the Schedule Reports Feature

Scheduled reports have been improved with a new option - DST(Daylight Saving Time ). Turning this option on adjusts the scheduled reports' time during the Daylight Saving Time period making the reports sending time correct.

Minor improvement to Docs Scanner

Minor improvement has been made to Docs & FilesDocs Scanner. Previously it was possible to enter the same document number for the same shift for the same date, which was causing some discrepancies in the accounting module. Currently, user is not able to enter the same document number for the same shift and date more that once.

New Cash Register Option for Verifone Ruby/Sapphire registers

A new ability to edit the day reports parsing - "Report Period" - has been added at Data Entry > Dashboard > Station Options > Cash Register > Advanced for the Verifone Ruby/Sapphire registers. Currently you can select if you want the CR data parsed on the basis of a shift or of a day.

Improvement to Custom Income Item Sales Report

Two new columns "Retail QTY" and "Retail Amount" have been added at Reports > Store >Custom Income Item Sales report.

new Find and Replace Field

A new field "Last date of sale" has been added at Price Book > Items > Price Management > Fields to Show > Last date of sale. With this field selected you can view the date when the item was sold the last time.

minor Improvement made to Vendors setup

Improvement made to Vendors > Vendors List > Apply EDI Suggested retail option. Since only categories containing items can be set up as vendor categories, the empty categories in the Categories List are currently marked in red.

new ability to exclude the base mop data from the shift report

Now it is possible to exclude the selected base MOP's data from the shift report. If you want to exclude the base MOP from the shift report, go to Data Entry > Dashboard > Station Options > MOP Mapping and select the blank option for the MOP to be excluded.

The excluded MOP's data is sent to back-office anyway and does not cause any accounting discrepancies, it is just not displayed in the shift report.

Minor improvement to Journal Settings

"Keep Transaction Log Files on CR (DC)" option has been moved from Data Entry > Dashboard > Station Options > Cash Register > Advanced to Data Entry > Dashboard > Station Options > Misc > Journal Settings for the usability purposes. Currently all PJR related settings are grouped in one place.

Improvement to Cash Register Rates Report

Minor improvement has been made to the Cash Register report on the home page.

The following changes have been made:

  • The "Cancel Count" column has been removed. This data is available within Voids.
  • The "Cancel Value" column has been moved next to the "Voids" column

Improvement to reports

Minor improvement has been made to all CStoreOffice® reports. Currently when you specify the report's period manually and enter the incorrect date format (mm/dd/yyyy), the field is highlighted in red.

Journal settings have been renamed for the usability purposes at Data Entry > Dashboard > Station Options > Misc > Journal Settings .

DC301: Help Section Created

A new help section with DC301 setup instructions and LED statuses description.

Improved Multi Cash Register sales processing

The ability to apply a new logic to the multi cash register support has been added. Previously it was possible to have only one additional register for the station. Currently, this limitation has been removed.

By turning this option on, you make the following changes to the Multi CR logic:

  • Shift reports from different cash registers set up for the station are consolidated into one report, but the information is separated according to the register, and selecting the shift report displays the detailed information within it.
  • Data Entry > Cash Reconciliation > Cash Register contains the consolidated data from all CRs.
  • The basic principles of working with the multi CR shifts are the same as the ones for the regular shifts from the single CR.
  • Sales Summary report has been improved with an ability to filter the report data by the cash register.

Category Inventory Level Report Improvement

Several improvements made at Reports > Store > Category Inventory Level report - item categories are currently broken down by RMA and CMA categories; report layout has been improved.

Company GPM Report Improvement

A new "Cost" column has been added at Reports > Store > Company GPM report. Previously report displayed only spoilage retail. Currently it displays both spoilage retail and cost.

PJR Files Enabled

PJR files are the POS Journal files that contain the transaction details from your register. You can enable these files for your cash register if applicable following the instructions here Enabling PJR Files.

New cash register option

A new cash register option - "UPC Code has a Check Digit" - has been added at Data Entry > Station Options > Cash Register > Advanced.

Dead Items Report Improvement

Two new advanced filtering options - "Station Included" and "Filter by Station Tags" - have been added at Reports > Price Book > select company > Movement > Dead Items report.

MAS90 Export Category Settings Improvement

A new MAS90 category setting has been added at Settings > Export Settings > MAS90 > Categories > Sales Taxes. With this setting you can assign a custom GL account number to the sales taxes category. This custom number appears in the "sales" сolumn of the MAS90 Export report.

New ability to create split transactions in store invoices

New ability to apply the split transactions when creating store invoices has been added. Three new data types - "Store Purchases Cash-Split", "Store Purchases Check-Split", "Store Purchases EFT-Split" - have been created.

If the invoice number is populated when creating a store invoice (Vendors > Bills > Store Purchases), the transaction will be split.


If the invoice number field is left blank, the transaction will be created the regular way.

DC301 Activation Progress Report

A new DC Activation Progress report is currently available at Data Entry > Station Options > Cash Register. With this report you can track the status of the DC301 online activation process.

New Ability to Reprocess a Pending Invoice

Now you can reprocess a pending invoice at the Pending Invoices report for one of the following reasons:

  • A system failure that occurred during the invoice parsing
  • Changes in the EDI or Price Book settings
  • Changes in the invoice file

Spoilage/S.Use Form Improved

A new "Cost" column containing the spoiled item cost has been added to the Spoilage/S.Use form.

Invoice GPM Range Report Improved

A new "GPM Range" column has been added to the Invoice GPM Range report at Reports > Store > Merchandize > Invoice GPM Range.

Improved performance of the Help Feedback form

Help feedback form performance has been improved. The form currently loads much faster.

You leave your feedback on the specific sections of this Help system and the whole Help system in general. All your comments, improvement suggestions and concerns will be thoroughly analyzed and taken into account.

To leave a feedback on the Help system, follow these steps:

  1. Click the feedback icon at the bottom of any page.

  2. Fill the feedback form and click Submit.

New ability to switch between the old and new shelf tags

New ability to switch between the old and new shelf tags has been added at Settings > GeneralAccount Settings.

The following improvements has been made to the Company GPM report:

  • It is now possible to set the custom date period.
  • It is now possible to view the non retail purchases in the Profit Calculation Based on Sales section of the report.
  • The "Include spoilage and inventory adjustments" option is now on by default.
  • The "Non Itemized Sales" column has been added available when subtotal by category or department is selected.

New Data entry Permission added

A new permission allowing to accept or reject multiple invoices has been added to Settings > General > Role.

A new video has been added to the C-Store Tips section. Overstocks mean wasted shelf space and money tied up in inventory that isn’t paying its rent.   2. To view the total COGS broken down by category, click the corresponding amount.

  3. View the report.

Improvement to the Loss Prevention Report

Loss Prevention report has been improved with the new filtering options - subtotal by Station, Day, Station Tag, and Division.

Improvement to Available Data Types

Data types, which were not used, have been disabled from Transactions assignment. To have the available data types recalculated for your account, do the following:

  1. Go to Settings > Company > Transaction Assignment.
  2. Click Required Data Types.

  3. Click the corresponding link to have the available data types recalculated for you.

Improvement to CR Departments - Radiant Item types support

Improvement has been made to the CR departments setup form. A new 'Radiant Item Type' option has been added. It is currently possible to specify the item types according to the Radiant regulations which are later sent to the CR devices (for the Radiant Cash Registers).

New permission for editing the fuel loyalty

New permission allowing to edit the fuel loyalty on the Fuel sales form has been added to the Data Entry permissions.

New ability to enter the larger amount that the invoice amount has been added at Vendors > Account Payable > Amt. to Pay.

New Mobile Assistant Option

New option for changing Price Book item descriptions via Mobile Assistant has been added to Data Entry > Dashboard > General > Mobile Assistant Settings > Allow to change Descriptions.

New Item Group Reconciliation Permission

It has been made possible to limit the ability to edit the 'Addition' field on the Item Group Reconciliation tab.

You can manage this permission at Settings > General > Roles > Edit > Data Entry > Allow users to change addition (purchases) data in Item Group Rec.

New account types

New account types - 'Credit Cards', 'Other Expenses', 'Other Income' - have been added to the accounting module.

If you want to use the payment account of the Credit Cards type with the Banking functionality, make sure the 'Available on Write check' option is on for it.
