What's New in October Release 2017

Following are some enhancements introduced in the current release of CStoreOffice®.

Authentication System Changes

Logon Form Redesign

CStoreOffice® Logon form has been redesigned to due to the changes in CStoreOffice® login procedure.

Changes to Profile form

Several changes made to the Profile form at Settings > Profile due to new CStoreOffice® login procedure:

  • The Change Password and Change Email forms have been removed.
  • A new 'Authentication Email' field has been added.

Employee Form Updates

A new 'Authentication Email' field has been added to the New Employee form at Settings > Employees > New Employee.

Home Page

Several improvements made to the home page:

  • Home page redesigned and product switcher replaced
  • Workflows moved to the top-right corner
  • Header and color scheme redesign to comply to the modern UI guidelines. Page made mobile-friendly

Price Book

Promotion Form Redesign

The Promotion form has been redesigned at Price Book > Promotion > Add Newfor managing promotions for each station separately.

Data Entry

Lottery Forms Redesign

The Lottery forms have been redesigned at Data Entry > Lottery. The functionality remained the same.

Import Tool

Access Rights to Import Tool

A new 'PriceBook.ImportTool' component has been added at Settings > General > Roles for managing access rights to the Import Tool.

Opening Import Tool from Menu

The Import Tool can now be opened from the main menu at Price Book > Import Tool.

Managing Linked Items

It is now possible to select linked items for importing from a data source.

Colored Draft Columns

The draft columns are now displayed in different colors to indicate the columns exporting properties.

Fuel Central

Moving Terms section

The Terms section has been moved from the Company Preferences form at Settings > Company Preferences to another form that will be announced later in October's release notes.

Not Editable Sections

  • The General section in the Carrier form is now unavailable for editing at Settings > Carriers > edit or create Carrier.

  • The Bill To section in the Customers form is now unavailable for editing at Customers > Bill to > edit or create Customer.

Reports

Improvements to Item Sales by Tags Report

The following improvements have been implemented at Reports > Store > Sales > Item Sales by Tags report:

  • The width of the Item Tags filter has been increased by 30%.
  • A new 'Export Raw Data' button has been implemented for exporting report to Excel and customizing the report data before exporting.

  • Two new options 'Promotion' and 'Vendor' have been added at filtering options > Subtotal By > Common for grouping the report results.

Other

Improvements to Employees Forms

The Sex column has been removed from the Employees list at Settings > Employees.

Country Added to Location and Company Forms

A new 'Country' list has been added to the Location and Company forms at Settings > Locations or Companies.

Data Entry

Improvement to Payroll Checks

A new 'Include Expenses' option has been added at Data Entry > Payroll > Payroll Checks form. This option turns on and off the automatic update of the expenses linked to the payroll check.

Improvements to Cash Register Form

  • A new 'UPC Code has a Check Digit' option has been added at Data Entry > Dashboard > Cash Register form > the Advanced view for correct parsing of UPC codes coming from the different types of cash registers.

  • A new ‘Use as Esso’ option has been added at Data Entry > Dashboard > Cash Register form > the Advanced view for turning on and off the loyalty data gathering (for the Gillbarco cash registers only).

Accounting

Account balances are now displayed for the parent accounts without taking into account sub-account values at Settings > Company > Chart of Accounts.

Customers

Improvement to Sales Invoices

It is now possible to filter the list of sales invoices by the invoice type at Customers  > Invoices.

It is now possible to select the invoice amount when using credits at Customers > Accounts Receivable.

Price Book

Improvement to vendors

A new 'Create new items in SPB' option has been added at Vendors > Vendors List > create/edit vendor > EDI options section > Create new items in SPB.

Improvement to promotions

The following options have been implemented for calculating tax before applying a discount in case the Mix&Match type of promotion is used (for Ruby Sapphire cash registers only):

  • A new ‘Apply Tax before Discount’ option has been added at Price Book > Promotions > Add New.

  • A new ‘Allow Tax before Mix and Match Discount’ option has been added at Data Entry > Dashboard > Cash Register.

  • The new 'Promotion Priority' and 'Combo Priority' fields have been added at Price Book > Promotions > Add New.

SmartPOS

New Permission

A new permission to close a day without closing a batch has been added to SmartPOS permissions at Settings > Employees > user > Role > Advanced > SmartPOS.

Numerous Reports Design Improvements

Design of the following reports has been improved (reports functions remained the same):

Minor Usability Improvement to Item Sales Comparison

The total values for compared periods are now highlighter in different colors for usability purposes at Reports > Store> Item Sales Comparison.

New Export Options of Kerosene/Diesel Purchases - SFTP and FTP

It is now possible to export Kerosene/Diesel Purchases data to SFTP and FTP at Reports > Gasoline > Kerosene/Diesel Purchases.

Minor Design Improvement to Royalty Calculator

Royalty calculator design has been improved at Reports > Accounting  >Royalty Calculator.

Improvement to Promotions Report

It is now possible to select to view only active promotions only at Reports  > Price Book > Promotions Report.

Improvement to Labor Analysis report

A new 'Print' button has been added at Reports > Payroll > Labor Analysis report for opening the print version of the report and printing the report then.

New sales and taxes fields at fuel taxes report

New fields have been added at Reports > Accounting > Manage Taxes > Fuel Taxes report for displaying more advanced information on fuel sales and taxes.

Improvement to Company Losses Report

The eye icon has been added to the table at the Reports > Store > Inventory > Shortages > Company Losses report. In case the values in the Refunds, Voids, and No Sales columns are distinct from zero, the user can open the LPA video journal for the specific event by clicking it in the table.

Improvements to names and designations

  • The 'Transactions' row has been renamed into 'Baskets' at Reports > Gasoline > Gasoline Sales History and Sales History reports.

  • The Usage report has been renamed into 'Usage Statistics' at Reports > Store > MerchandiseMaintenance > Usage Statistics.

  • The following reports have been renamed at Reports > Store > Merchandise > Maintenance:
  • The Not Sold Items report (7890) - into 'Purchased/Not Sold'
  • The No Purchased Items report (9529) - into 'Sold/Not Purchased'

  • The following elements have been renamed at Reports > Accounting > Review Sales > Daily Sales Summary for Accounts Group report:

Loss Prevention Analytics

Mouse-wheel navigation

It is now possible to navigate the Video Journal time-line using the mouse-wheel.

Copying Transaction ID

It is now possible to select the transaction ID for copying by double-clicking with the left mouse-button.

New filtering option

For usability purposes, locations and registers filters of LPA has been merged into one combined filter.

Tooltips Added

Users are now prompted with the tooltips about the meaning of 'void' and 'cancel' terms throughout the LPA product.

Autoplay Added

Currently when the video for the selected event ends, the video from the same camera for the next event starts playing automatically.

New ability to View the Time Frame Before and After the Event

For investigation purposes, it is now possible to expand the event time-frame for the selected period before and after using the corresponding +1m controls.

Vendors

Other Charges Auto-Suggestion

For time saving, Other Charges field is now auto-suggested at Vendors > Bills > Store Invoices.

Improvements to Navigator

The Navigator tool has been renamed to the Workflows tool. The forms of the tool have been redesigned. The functionality remained the same.

New Columns at Locations Form (Stations list)

Three new columns 'Status', 'Division', and 'Company' have been added to the Locations form (Stations list) at Settings > General > Locations.

New Product Added

A new 'QwickServe Remote Ordering' product has been added on the station level at Settings > Setup Account > select account > Edit > Petrosoft Products > the Product Name list (for system users only).

Accounting

Usability improvement made to the chart of accounts import template at Tools > General > Setup Accounts. It is now possible to upload COA with parent-child relationships.

  • 'Account Number' field is not obligatory anymore
  • 'Parent Number or Name' field is used to indicate the parent-child relationship

Data Entry

Improvement made at Data Entry > Inventory > Cycle Count Tickets. Currently when trying to create a cycle count ticket, a user is warned about the pending invoices and price changes ignoring which affects the accuracy of the results.

Consigned Stations

A new station type - Consigned Station - has been added at Data Entry > Dashboard > Station Options > General > Type > Consigned Station. The relevant parts of CStoreOffice® has been modified correspondingly:

  • A new data type - Commission Invoice - has been added at Tools > Transaction Assignment > Required Data Types.
  • A new data type - Consignment Invoice - has been added at Tools > Transaction Assignment > Required Data Types.
  • Changes made to 'Allow CR Updates' at Data Entry > Dashboard > Station Options > Cash Registeradvanced. To prevent uploading the CStoreOffice® Price Book to the consigned station, the 'Allow CR Updates' option is off by default and is disabled for consigned stations.
  • A new 'Allow CR Fuel Prices Update' option added at Data Entry > Dashboard > Station Options > Cash Registeradvanced. To keep the fuel price up to date, the 'Allow CR Fuel Prices Update' option is on by default.
  • Two new customer invoice types - commission invoice and consignment invoice - have been created.
    Consignment invoice is issued for the fuel sold.
    Commission invoice is issued as a reward to the commission agent in the previously agreed amount.
  • New shift report settings have been added. It is now possible to receive the shift report with the fuel sales data only. To select the types of data to be obtained in the shift report, go to Data Entry > Dashboard > Station Options > Cash RegisteradvancedShift Parsing Abilities.

Vendors

Usability improvement made at Vendors > Bills > Store Invoice. The invoice number has been limited to 20 characters to prevent issues with integration with other services.

Customers

Emailing Invoices Improvement

Usability improvement made at Fuel Central > Vendors > Purchase Invoices > Edit > Send by Email and Customers > Sales Invoices > Edit > Send by Email. It is now possible to enter several email addresses separated by a comma.

Net Info Auto-population

Minor usability improvement made to the print version of the sales invoice at Fuel Central > Customers > Sales Invoices

Currently the 'Net' column is also populated with data from BOL.

Address Info Auto-population

A New Mix&Match Option - Discount - Added

A new type of Mix&Match promotion 'Discount' have been added at Price Book > Promotions > New Price (Special) > Mix&Match. This type of Mix&Match promotion works as a set reduction, instead of selling at a promotional price.

Reports

Labor Analysis Report

A new report has been added at Reports > Payroll >Labor Analysis Report.

Labor Analysis report provides information on the recommended number of employees for the specific period and location on the basis of the following data:

  • Merchandise sales
  • Lottery sales (paid via cash register only)
  • Fuel sales (paid via cash register only)
  • Money order sales (paid via cash register only)

Liquor Transaction Export Report

A new report has been added at Reports >Accounting > Liquor Transaction Export.

This report is intended to be used by customers interfacing with the State of Ohio- Division of Liquor Control (DOLC) Liquor Management System.

Lottery Sales Comparison Report

A new report for comparing the lottery sales for the selected periods on the item level has been added at Reports > Lottery > Lottery Sales Comparison.

Distributors Malt Beverage improvement

Aging Summary improvement

Several improvements have been made at Customers > Accounts Receivable > Aging Summary. It is now possible to filter the data by customers; import data into PDF and print from the report.

Best Sellers by Sales improvement

Improvement made at Reports > Price Book > Best Sellers report. Two new columns - Cost and GMP $ - have been added to the report.

Video Journal Redesign

Numerous improvements have been made to the Video Journal design and functionality:

  • Camera navigation controls improved from the drop-down list into the on screen controls.

  • The event timeline view has been completely redesigned and presented in a new improved format.

  • The event details view has been completely redesigned and presented in a new improved format.

  • It is now possible to filter the video journal events by the price override instances.

  • It is now possible to filter the video journal events by the bookmarked transactions.

Improvements to Loss prevention analytics - search and print features

It is now possible to search by transaction ID (event number) and print the selected events at Loss Prevention Analytics > Video Journal.

To print the event you are interested in, open it and click the icon for printing in the top-right corner.

To search for the event by the event number, click the search in the top-right corner and enter the event number.

Eligibility Check

It is now possible to see if your stations meet the technical requirements to be connected to Loss Prevention Analytics.

No event filter

A new 'No event' filter has been added to Video Journal. No event filters the occasions when cameras detect motion in the customer's area, but there is no transaction in this time frame detected at the register.

Fuel Central

Numerous Improvements to Invoices and BOLs Forms

Improvement made to the purchase invoice discount calculation at Fuel Central >Vendors > Purchase Invoice > Edit. It is now possible to select between percentage and amount type of discount.

Minor usability improvement made at Fuel Central >Vendors > Purchase Invoice > Edit. A new 'Add' button has been added to the form to improve the form editing.

Improvement made at Fuel Central >Vendors > Purchase Invoice. Currently when user selects BOL, the purchase invoice shipping, billing and terminal information is populated automatically. The data is taken from the selected BOL.

Usability improvement made to the process of working with purchase and sale invoices. Currently when you create a new purchase invoice with fuel and non-fuel products, all positions are pulled to a new sale invoice with the same number as the one of the purchase invoice. Previously only product info was pulled and taxes had to be populated manually.

Improvement made at Fuel Central. 'Customer invoices' have been renamed into 'Sales invoices'. 'Vendor bills' - to 'Purchase invoices'.

Improvement made at Fuel Central >Vendors > BOLs. Date and time selection tool has been redesigned for the usability purposes.

Improvement made at Fuel Central > Vendors > Purchase Invoices. It is now possible to sent the purchase invoices to email.

Improvement made at Fuel Central > Vendors > BOLs. A new 'Base cost on' column has been added.

Improvement made at Fuel Central > Vendors > Purchase Invoices. A new 'BOL' column has been added to the form.

Improvement made at Fuel Central > Vendors > Purchase Invoices. A new 'Destinations' form has been added.

Improvements to Fuel Central Settings

A new fuel type - 'E Fuel' (Ethanol fuel) - is now available at Fuel Central > Settings > Locations > UST SystemAdd New > Type.

Minor usability improvement made at Fuel Central > Settings > Bulk Terminals . 'FAC #' field has been renamed into 'TCN' (Terminal Control Number).

Cash Register

Improvement made at CStoreOffice® > Dash Board > Station Options > Cash Register. Two new options - 'Shift Period Name' and 'Day Period Name' - have been added for Sapphire/Topaz registers to provide a name to the primary period - day or shift.

Improvement made at Dash Board > Station Options > Misc. It is now possible to remove and unmap cash registers and fuel pumps.

Price Book

Price Book Categories Form Redesign

Form for creating and editing Price Book categories has been redesigned at Price Book > Category> Add New/Edit. The form functionality remained the same.

Accounting

New Field Added at Accounts Receivable New

Improvement made at Customers > Accounts Receivable New > Method of Payment. A new 'Method of Payment' field is now available when creating payment.

New ability to Email Pass-Through Credits

Improvement made at Customers > Ship to > Pass Through Credits. It is now possible to send the pass through credit data by email.

Data Entry

Item Level Real time inventory option

A new real time inventory option is now available at Data Entry > Dashboard > Station Options > Cash RegisteradvancedUse Realtime inventory. With the item level real time inventory, the totals are calculated on the item level, taking into account the purchase and sale time, as well as the inventory starting and ending time. With this option on, you can view the following inventory and sales information in a real time:

  • Buydowns
  • Sales
  • Spoilage
  • Purchases
  • Price Changes
  • On hand quantity

New Full Inventory Option

Improvement made at Data Entry > Inventory > Item Groups Reconciliation. A new 'Full Inventory' option has been added. With this option on, the inventory is calculated for all groups. With the option off, the inventory is calculated only for the populated groups.

Multiple Products Selection

Improvement made at Dash Board > Station Options > General > Product. It is now possible to select several products for the station.

Reports

Improvement made at Reports > Store > Loss Prevention. Currently the 'Date/Location' column contains the shift number as well.

Improvement made at Reports > Store > COGs by Category report. It is now possible to subtotal the report data by category.

Improvement made at Reports > Store > Cash Register Journal. It is now possible to filter the report data by cash register.

Improvement made at Reports >Store >Consolidated Tax Sales and Reports > Accounting > Food Stamp. A new 'Send to Email' button has been added to both reports.

Improvement made at Reports > Store > Cash Register Journal. It is now possible to filter the report data by cash register.
