Sending Product Stock Levels Data to the Cash Register
In CStoreOffice®, you can keep an accurate track of your inventory and stock levels using accounting, price book, inventory tools and reports.
In addition, actual product stock levels data can be calculated and sent from CStoreOffice® to your cash register automatically. All you need is to set up several cash register settings and perform physical inventory on a regular basis, the rest will follow automatically after each shifts acceptance.
Please note that the feature for sending product stock levels from CStoreOffice® to the cash register is available only for 1.4.5 and 1.4.6 versions of the ITL ClearVision cash registers.

Calculating and Sending Product Stock Levels
The procedure for calculating and sending product stock levels from CStoreOffice® to the cash register includes the following steps:
Before you begin sending and receiving product stock levels data:
- Both ways of accepting shifts are applied here: manual and automatic.
- Only accepted shifts trigger the product stock levels calculation.
Pending shifts and the shifts which were redone and reaccepted do not trigger the product stock levels calculation.
Additionally, you may call for a trigger action to calculate the product stock levels data by clicking the following buttons in the cash register settings:
- Wipe Out Price Book: When this button is clicked, the whole price book is deleted from the cash register overwritten by the price book from the CStoreOffice® account. Product stock levels data is calculated and sent to the cash register.
- Upload Full Items Price Book: When this button is clicked, the whole price book, including not updated items, is uploaded to the cash register. Product stock levels data is calculated based on the analysis of all price book data.
Please note that the procedures launched after clicking the buttons above may take from 10-15 minutes to 1 hour. During this time the cash register becomes unavailable. For more information, see Cash Register Settings.
- In case the last full physical inventory was performed during the last 60 days, the next step begins.
- Otherwise, the procedure stops until the next trigger action (see Step 1) is performed.
The period in 60 days can be changed in the account settings. Accounts settings can be configured only by the system users.
You can monitor the dates of the last physical inventory, check the inventory due dates in advance using the Product Stock Upload Widget.
At each shifts acceptance, the product stock levels data is calculated in the following way:
- Calculated data: Accepted shifts and invoices.
- Uncalculated data:
- Pending shifts and invoices
- Shifts which were redone and reaccepted.
- Newly added or updated items and any other price book changes accepted between shifts acceptance.
- Calculation formula: Product Stock level = Last physical inventory + Purchases in accepted invoices – Sales in accepted shifts + Adjustment – Spoilage
The data listed above will be included into the product stock levels calculation only at the next shifts acceptance.
- Product Stock Levels data is sent in the CSV file.
