Advanced Item Reconciliation Report

This section describes the specifics of accessing and interpreting the Advanced Item Reconciliation report. This section consists of the following subsections:

Opening Report

You can find the report at Reports > Store > Inventory > Volume and State > Advanced Item Reconciliation. For more information, see Viewing Reports.

Viewing Report

The Advanced Item Reconciliation report provides advanced information on statistics of sale, purchases, and spoilage by items for the specified period.

Filtering and Sorting Report Data

To get the exact information you need, you can apply filters to the report. To set up a filter, select one or more filtering options. Once the filter is set up, at the bottom of the filter section, click the Refresh button to display the report data by the filter criteria.

The report provides the following filtering options:

  • Basic. Basic options are always available at the top of the report page.
  • Advanced. To open advanced options, on the right of the simple options, click the Advanced button.

Interpreting Report Data

By default, items in the report are grouped by categories then by groups. You can define another grouping level in the Basic options > Subtotal by.

For each level you can see the sales and purchases data by day or by week (depending on which mode is selected in the Basic options). At the end of each line on the first level, you can see book inventory at this moment.

Viewing Report Details

You can view the report detailed information at two following levels:

Viewing Report Details at Group Level

You can view more detailed data for each level and sub-level, if any.

  • To view more detailed data for each level or sub-level, click this level or sub-level name.

  • To close the detailed view for the level, click this level name again.

You can also view more details on each statistic at the level:

  • Purchases. To view more details on purchases for any level or sub-level, click the purchases value for the level/sub-level and period you need.
    Result: The Store Purchases report with the same filtering options opens.
  • Sales. To view more details on sales for any level or sub-level, click the sales value for the level/sub-level and period you need.
    Result: The Item Sales by Tags report with the same filtering options opens. For more information on how to work with this report, see Item Sales by Tags.
  • Write-Offs. To view more details on write-offs for any level or sub-level, click the write-offs value for the level/sub-level and period you need.
    Result: The Write-Offs by Tags report with the same filtering options opens. For more information on how to work with this report, see Write-Offs by Tags.

Viewing Report Details at Item Level

To view the report at the item level, expand the corresponding levels and sub-levels, if any.

You can view the following data at the item level:

  • Open: Book inventory on the certain date. To view more details on book inventory for this item, click the Open value for the item and date you need.
    Result: The Itemized Inventory by Tags report opens for this item with the same filtering options. For more information on how to work with this report, see Itemized Inventory by Tags report.
  • Purch: Item purchases for a certain period. To view more details on the item purchases, click the Purch value for the item and period you need.
    Result: The Item History report opens for this item with the same filtering options.
  • Sales: Item sales for a certain period. To view more details on the item sales, click the Sales value for the item and period you need.
    Result: The Item Sales by Tags report opens for this item with the same filtering options. For more information on how to work with this report, see Item Sales by Tags report.
  • Write-Offs: Number and cost of the spoiled items in the store. To view more details on the item write-offs, click the Write-Offs value for the item and period you need.
    Result: The Write-Offs by Tags report opens for this item with the same filtering options. For more information on how to work with this report, see Write-Offs by Tags report.
  • Close: Item inventory at the end of the day. Close calculation formula: Close=Open+Purchases-Sales-Write-Offs.
  • Physical Inventory: Item physical inventory data. To view more details on the item physical inventory, click the Physical Inventory value for the item and period you need.
    Result: The Itemized Inventory by Tags report opens for this item with the same filtering options. For more information on how to work with this report, see Itemized Inventory by Tags report.
  • This parameter is displayed only if the By Days option is selected in the report basic options.

  • Short/Over: The item's short and over data. To view more details on the item short/over, click the Short/Over value for the item and period you need.
    Result: The Item Shortage report opens for this item with the same filtering options. For more information on how to work with this report, see Item Shortage report.
  • This parameter is displayed only if the By Days option is selected in the report basic options.

Additional Actions

  • To reload the form, click Refresh.
  • To open the Petrosoft University Portal, click Help.
  • To create a ticket, click Feedback.

The report cannot be converted to the Excel format because of its technical specifics. If you need to export to the Excel file the sales and purchases data including the price and the quantity, you can use the Items Sales by Tags report with the Show item purchases option selected.
