Introduction

This manual was designed to help you in choosing a way to set up your Price Book. We will present to you different ways to get your Price Book up and running. We will also give you step-by-step instructions on how to do each setup, so you can choose the way that you feel most comfortable with.

Methods

  • File Import - CStoreOffice® can populate the Price Book based on a file that can be uploaded to CStoreOffice®. This file needs to be in the supported format.  Files can be gathered from vendors and other trusted sources.
  • EDI (Invoice Driven) - this method uses invoices to populate your Price Book. Since all invoices are coming in via the item level, all EDIs will automatically populate the Price Book with the items supplied by the EDIs. All other invoices will need to be entered manually.

    Petrosoft offers a service of entering invoices data for you. For more information, contact your sales representative.

  • Inventory Price Book Setup - another option that is widely used is to have a third party inventory company come out and scan your store then populate the Price Book based on inventory result.
  • Template Store - we can copy the whole price book structure to your account from one of our operated stores with our company retails. 
  • Register option - based on the register type, we can pull and use a Price Book that you are already using in the cash register to populate CStoreOffice®.

At present, the Register option is only available for stores that use Ruby or Ruby Sapphire cash registers.

  • Manual Setup - manually go via all of the items and set retails in all of the stores.

Price Book Introduction

The CStoreOffice® Price Book is a powerful, flexible tool that lets you control prices effectively to make your business more competitive and more profitable.  With the CStoreOffice® Price Book, you can add, edit or delete any item, manage similar items efficiently in price groups and easily set up promotions. You can change prices and numerous other parameters quickly and easily.  Powerful search tools make it easy to locate any item in the price book quickly.

CStoreOffice® Price book is designed for easy updates so that time spent maintaining the Price Book is kept to a minimum.

Price Book Levels

The Price Book maintains three levels of Price Books. The Price Book levels are tiered and it is possible to pull product information from a higher tier down into a lower tier Price Book electronically.  This is done to eliminate the need for manually reentering data on a new item. 

  • The top level price book is the Global Price Book and it contains Global Attributes. These cannot be edited by users once the data has been entered into the Global Price Book.  There are over 26,000 UPCs in the Global Price book and more are being constantly added.
  • Below the Global Price book is the Account Price Book that contains the prices of the items companywide. This is the highest level of the Price Book that a user can edit. It contains the prices of the items that are actually being sold in the stores associated with that account.
  • This price book is then used to populate the Station Price Book that is displayed at each gas station. The Station Price Book in CStoreOffice® allows each station to price its items differently in order to remain competitive. 

Throughout the Price Book module there will be references to Global, Account and Station Attributes. These are attributes that correspond to the Global Price Book, Account Price Book, and Station Price Book, respectively.
