Data Entry

Data Entry is where the bulk of the information entered on a daily basis ends up. Users can enter the data directly into the Data Entry module, after accepting shift reports for that day, or they can enter it using the other methods described in this guide. Either way, Data Entry is a powerful module that allows you to change almost everything regarding the day to day operation of your store, as well as perform the functions that are essential for maintaining proper account of sales and cash on hand.

You can use the Data Entry menu to access the following modules:

  • Dashboard: This form displays all pending invoices, the last cash data entry update and cash register status, as well as links to location options.
  • Store: This module allows you to enter buydowns, price change, store sales and spoilage data. Managers need to ensure that the spoilage data is entered on a daily basis in order to ensure proper tracking of inventory of the spoiled items. Failure to do so will result in an inventory shortage when inventory is taken.
  • Fuel Sales: This module allows you to enter fuel invoices, adjustments and inventory as well as track fuel sales on a daily basis, and make changes as required.
  • Fuel Inventory: This module allows you to view inventory data from ATG or CR reporting.
  • Cash Reconciliation: This module enables you to reconcile the data from accepted shifts to ensure that the totals are accurate. The module also gives you the ability to view shortage and overage for each shift and the entire day. Cash Reconciliation also serves as a gateway for items to be entered in the Accounting module, and requires proper completion of the day in order to do so.
  • Competition: This module allows you to enter fuel retail information for your closest competitors. This is a manual process that, when utilized properly, takes place everyday around the same time to ensure that the information is up to date for the day. This information is used both for informational purposes and reports in CStoreOffice®.
  • Payroll: This module shows the payroll information as it pulls over from the cash register if configured properly. Using the Payroll module, users can also manually enter data such as when employees clocked in and out, which shifts they worked, as well as their hourly rate. This section will also allow you to add and edit employees for this location.
  • Lottery: This module allows you to closely track lottery sales, payouts and inventory. You can also reconcile inventory electronically at the end of every shift.
    CStoreOffice® allows you to set up lottery games in the system and enter information about sales, purchases and payouts.  You can scan in tickets and enter sales information about instant games, so that all lottery data is refreshed at the end of every shift. CStoreOffice® automatically enters sales, purchase and payouts at every shift close as well.
