Transaction Assignments

What are Transaction Assignments

This form allows to map different C-Store Office activities (data types) to the general ledger (GL) of accounts. Every transaction added to C-Store Office MUST be assigned to two GL accounts. One account must be debited and other must be credited. For example, “Gasoline Sales” credits the Sales-Gasoline account and debits the Cash on Hand account. Sales made by credit card will credit the Cash on Hand account and debit the AR Credit Cards account.

Transaction assignment is preset if the user chooses to accept the C-Store Office Chart of accounts.  However, if chart of accounts is changed, remember to check transaction assignments to make sure there are no unassigned system activities (data types) left. If custom chart of accounts is created, all transaction assignments must be done manually. In this case the chart of accounts must be created first and only then should the user do transaction assignments. If some accounts are missing in this process, come back to the chart of accounts and create additional accounts.

Opening Transactions Assignment Form

To open the Transactions Assignment form, go to Settings > Company > Transaction Assignment.

Assigning Transaction

To assign a transaction, follow the steps:

  1. Open the Transactions Assignment form. For details, see Opening Transactions Assignment Form.
  2. Scroll the form down till the first empty string.
  3. For each assigning transaction, select the next empty string and specify the following data:
  4. Make sure the Data Type column contains the required data type. If no, do the following:
  5. At the bottom of the Transactions Assignment form, click the Required Datatypes button.
  6. In the opened Data Type form, select the data type you need to add.
  7. At the top of the Data Type form, click the Save button.

  8. In the Data Type column, select the data type for assigning.
  9. In the Debit Account column, select the account you want to debit.
  10. In the Credit Account column, select the account you want to credit.
  11. At the bottom of the form, click Save.
