Importing the Chart of Accounts

When you set up a new account, you can import charts of accounts from an XLS file to CStoreOffice®. This helps streamline the chart of accounts setup. For more details, see Chart of Accounts.

To import the chart of accounts:

  1. At the bottom the Setup Account form, click the Import Accounts from XLS button.

  2. At the top of the displayed window, click the ImportChartofAccounts.xls button.

    Result: A template file in the XLS format for importing the chart of accounts is downloaded to the default downloads location on your computer.
  3. Open the downloaded file and fill it with the necessary data:
  • Account number (Gl Account Number): Number of the account.
  • Name*: Name of the account that will be displayed in CStoreOffice®.
  • Parent number or Name: Name of the parent account to which the account is related.
  • Type*: Type of the account.
  • Class: Class to which the account is linked.
  • Accessible in Data Entry: Specifies if the account must be accessible in the Data Entry form.

    When filling the template file, mind the following:
    - Fields marked with the asterisk character (*) are required.
    - Parent account must be specified before the child accounts that relate to these parent accounts.

  1. Save the file with the accounts data.
  2. In the Import Chart of Accounts from XLS window:
  3. In the Company list, select the company to which you want to import the chart of account.
  4. On the right of the File field, click the Choose file button and select the prepared XLS file with the chart of account data.
  5. Click the Load button.

  6. Result: The accounts data is imported to CStoreOffice® for the selected company, and the import results are displayed in the Imported Accounts section of the Import Chart of Accounts from XLS window.
