Flow A: Set Up the Menu with the Template

To streamline the process of menu setup, you can leverage the QwickServe menu template. The QwickServe menu template is a file in the Excel format that you need to populate with information about menu components:

  • Menu categories and subcategories
  • Menu items
  • Ingredients
  • Sets
  • Add-ons and so on

In QwickServe, you can add the following two item types to the menu:

  • Ready-to-serve items: Regular items from your price book, such as, for example, a chocolate bar, a cigarette pack, or the bottle of Coca-Cola.
  • Recipe items: Items that consist of ingredients and may include nutrition information, ingredient sets, and add-ons. For example, sandwiches, hamburgers, pizzas, desserts and so on.
  • Please note that the recipe item ingredients are linked to the regular price book items. Whereas the nutrition information, ingredient sets, and add-ons can be added only to recipe items, but not to regular price book items.

Once the template is populated, you need to send it to Petrosoft representatives. Petrosoft representatives will use the prepared template and information provided in it to set up the menu and all the necessary menu components in the system for you.

To populate a menu using the template:

  1. Open Petrosoft Cloud Help and download the latest menu template from: Petrosoft Cloud Help > QwickServe > Downloads: QwickServe.
  2. Open the downloaded template.
  3. In the Full Menu Version sheet, enter the following data:
  4. In the Category Name cell, enter the name of a category that you want to add to the menu, for example, Burgers.
  5. (Optional) In the Category Description cell, enter the category description.
  6. (Optional) In the cell below, enter the name of a subcategory within the category, for example, Steak Burgers.
  7. In the Recipe PLUs cell, enter the PLU for the recipe item.
  8. In the Recipe Retail Price cell, enter the retail price for the recipe item.
  9. In the Ingredients for Recipe Items cells, enter the names for base ingredients.
  10. In the Portion Size cells, enter the portion size for base ingredients.
  11. Remove the blank lines.
  12. In the Optional and Hidden cells, mark the ingredients as optional or hidden.
  13. (Optional) In the Sets Included cells, enter the sets descriptions, for example, Burger Add-ons and Add Cheese.
  14. (Optional) In the Add-ons cells, enter the add-ons descriptions, for example, Coke 20 oz. You can only add items that exist in the Price Book as add-ons.
  15. (Optional) In the Description cell, enter the recipe item description.

  1. Navigate to the Sets sheet and enter the following data:
  1. In the Set Name cells, enter the copied sets names.
  2. In the Min and Max cells, enter the minimum and maximum number of ingredients that the customer can choose. If the customer can choose nothing, the minimum quantity must be set to 0. If the customer can choose an infinite number of ingredients, the maximum quantity must be set to 0.
  3. In the Ingredient Name cells, enter the names of ingredients that you want to add to the set.
  4. In the Q-ty cells, enter the amount of ingredients in the set.
  5. In the Max. Q-ty cells, enter the maximum amount for each ingredient. If the customer can choose an infinite amount of ingredients, the maximum number must be set to 0.
  6. In the Price N+ cells, enter the price for each ingredient.
    If the first portion is for free, enter the price in the Price 2+ cell. If the first two portions are for free, enter the price in the Price 3+ cells and so on.
  1. In the Full Menu Version and Sets sheets, copy the ingredients names.
  2. Navigate to the PB Items Summary sheet and enter the following data:
  1. In the Ingredients cells, enter the copied ingredients names.
  2. In the PLU cells, enter the ingredients PLUs.
  3. In the Measure Unit cells, enter the measurement units for the ingredients.
  4. In the Category and Department cells, enter the category and department for ingredients. Typically, the 100 QwickServe department and category are used.
  1. Save the entered data and send the prepared template to a Petrosoft representative. The Petrosoft representative will check if the data is specified correctly, coordinate the changes with you if necessary and set up the menu for you in the system.
