Step 4. Set Up QwickServe Users and Assign Roles
- Account owner: This account can be thought of as the 'Administrator' having the highest level security and administrative rights. The account owner is set up when you sign up for Petrosoft Cloud.
- Employee accounts: These are accounts for employees working at your company, restaurant or store, for example, a Manager, Prep Cook and so on.
This section covers only basic tasks sufficient for account setup. For more details, see Petrosoft Cloud Help > CStoreOffice® > Settings > General > Role and Permission Management.
To provide an employee with access to Petrosoft Cloud and QwickServe, you must complete the following tasks:
Only users with Allow users to setup employee and Allow users to setup roles permissions can set up accounts and roles for employees in CStoreOffice®. To check if these permissions are granted, go to Settings > General > Roles > open the necessary role for editing > Admin Tools or Settings > General > Employees > employee record > Login & Password > Advanced > Admin Tools.
Setting Up Employee Accounts
To set up a new employee account:
- At the top right corner of the CStoreOffice® home page, go to Settings > General > Employees.
- At the top right corner of the employees list, click New.
- In the Personal Data form, specify the personal data for the employee such as authentication email, first and last name and so on.
- In the PIN field, enter the PIN number for the employee. The employee will use this number to access the administrative interface at QwickServe devices.
- In the left menu of the form, select Login & Password.
- In the Workplaces section, specify the stations at which the employee will be working: in the left box, select the necessary stations and click the > icon.
- At the bottom of the form, click Save and Close.
Assigning Roles or Granting Permissions
When you create accounts for employees, you need to define what permissions these employees must have. Granting or restricting permissions lets you make sure that employees can work with Petrosoft Cloud and QwickServe effectively without having access to sensitive information.
There are two ways to grant permissions to employees in Petrosoft Cloud:
- Through roles: You can assign a specific role to an employee. This method is preferable: rather than granting individual permissions, you can assign the role that already carries the necessary set of permissions matching the employee's role in the company. For example, you can assign such roles as cashier, store manager and so on.
- Through permissions: You can grant a set of individual permissions to an employee.
To assign the role to an employee, you must complete the following tasks:
Creating QwickServe Roles from Templates
Petrosoft Cloud offers a number of role templates. You can use these templates to set up roles for your employees in the system. For example, if you have several cooks, you can create the Cook role based on the appropriate template and assign this role to all cooks. As a result, these employees will have the same set of permissions granted through the Cook role.
To create a role based on a role template:
- At the top right corner of the CStoreOffice® home page, go to Settings > General > Roles.
- At the bottom of the roles list, click Add New.
- In the Add new role window, specify the role settings:
- In the Role Template list, select the template based on which you want to create the role.
- In the Role Name field, specify the name for the created role.
- Click Create.
Assigning Roles to Users
After you have created a role, you can assign this role to an employee:
- At the top right corner of the CStoreOffice® home page, go to Settings > General > Employees.
- In the employees list, select the necessary employee record.
- In the left menu of the form, select Login & Password.
- In the Role list, select the role that you want to assign to the employee.
- If the employee requires additional permissions, to the right of the Role list, click Advanced, expand the permissions list and click the unlock icon to grant this permission to the employee.
QwickServe-specific permissions are available under the QwickServe and QwickServe Account access nodes in the permissions list.
- At the bottom of the form, click Save and Close.
