Mapping Fuel Products Automatically

To let you synchronize data between the cash register and back-office system, CStoreOffice® offers the mechanism of automatic mapping of fuel products. When CStoreOffice® receives shift files with sale transactions for unknown fuel products, it launches automatic mapping of fuel products. CStoreOffice® attempts to map the fuel product from the transaction to a fuel product registered in the system.

Depending on your business needs, the automatic fuel mapping mechanism can be either enabled or disabled in CStoreOffice®. To check, if it is enabled or disabled for your station, go to the Station Options > UST System. For details, see Station Options: UST System.

Automatic mapping of fuel products is supported for Verifone Sapphire, Verifone Commander, and Gilbarco Passport cash registers.

Automatic mapping of fuel products works in the following way:

  1. When CStoreOffice® receives a file with a sale transaction for an unknown fuel product, it analyzes the Fuel Grade Description and Fuel Grade ID fields in the file:
  2. If the Fuel Grade Description field contains some value, CStoreOffice® checks if this value matches the name of any fuel product in CStoreOffice®. If the fuel product with such name exists, CStoreOffice® activates this product for the location. If the fuel product with such name does not exist, CStoreOffice® creates a new product in CStoreOffice® and activates it for the location.
  3. If the fuel description is not available, CStoreOffice® checks the Fuel Grade ID field in the file:
  4. If the Fuel Grade ID value is not numeric, CStoreOffice® checks if this value matches the name of any fuel product in CStoreOffice®. If the fuel product with such name exists, CStoreOffice® activates this product for the location. If the fuel product with such name does not exist, CStoreOffice® creates a new product in CStoreOffice® and activates it for the location.
  5. If the Fuel Grade ID value is numeric but is not recognized as standard for the cash register type, no changes are made in the system. In this case, CStoreOffice® checks if mandatory fuel files are available for the location and imports fuel data from these files automatically to the system.   6. If a new fuel product is created for a location as a result of fuel data import, CStoreOffice® automatically reprocesses shifts that have unknown fuel sales events and updates information in these shifts.
