Cost Exceptions Report

This section describes the specifics of accessing and interpreting the Cost Exceptions report.

Opening the Report

You can find the report at ReportsPrice Book > CostCost Exceptions. For more information, see Viewing Reports.

Viewing the Report

The Cost Exceptions report provides the list of invoices the cost of which is different from what was agreed with the vendor (negotiated cost). The list of invoices is displayed within the specified period and in accordance with other filtering criteria.

The report contains of the following information about each invoice with cost exceptions:

  • Station
  • Vendor
  • Invoice #
  • Date
  • Invoice Type
  • Method of Payment
  • Quantity
  • Amount, $
  • Negotiated Amount, $
  • Promotion Amount, $
  • Difference, $
  • Credit Memo

To view the invoice's items, click the row with this invoice, to expand its data.

The following information about each item in the invoice is displayed:

  • UPC
  • Name
  • Size
  • Item No
  • Cat#
  • Dep#
  • Pack
  • Qty
  • Unit Cost, $
  • Extended Cost, $
  • Negotiated Unit Cost, $
  • Negotiated Extended Cost, $
  • Promotion Unit Cost, $
  • Promotion Extended Cost, $
  • DIFF, $
  • Extended Diff, $

Filtering and Sorting Report Data

To get the exact information you need, you can apply filters to the report. To set up a filter, select one or more filtering options. Once the filter is set up, at the bottom of the filter section, click the Refresh button to display the report data by the filter criteria.

The report provides the following filtering and sorting options:

  • Custom Date. Specify the period you are interested in manually using the calendar or use one of the available filtering options, and then click Refresh There are the following filtering periods available:
  • Yesterday
  • Current Month
  • Current Quarter
  • Current Year
  • Last Month
  • Last Quarter
  • Last Year
  • Last 12 Months
  • Filter By. Use this option to filter the report data by any of the following criteria:
  • Category
  • Vendor
  • Type: Overcharge or Undercharge.
  • Department
  • Price Group
  • Promo Group
  • If you want to remove the identifiers from the criteria listed above, select the Remove Numbers from Lists option and then click Refresh.

  • Filter by Items. Use this option, to filter the report data by specific items you need. Below the Items list, use the following options and buttons to add the items to this filter or to remove them:
  • Show Only: Select this option, to view only the information for the selected items.
  • Show All Except: Select this option, to view the information for all the items except the selected ones.
  • Find: Use this button, to find the items you need.
  • Find & Clear: Use this button, to find the items you need and remove items already added before.
  • Select All: Use this button, to select all items.
  • Clear: Use this button, to clear selection of all items.
  • Sort By: Select this option to sort the report results further.
  • Subtotal By. Select this option to subtotal the report results on the top level by Item Tags.
  • Station Included. Select the stations you want to view the report for.

Working with Report

You can perform the following operations with the Cost Exceptions report:

  • To view the invoice's items, click the row with this invoice, to expand its data.
  • To open the invoice report for a certain invoice, click the vendor name in this invoice's row.
  • To create a credit memo for the invoice:
  1. In the Credit Memo column, select the empty option for the invoice you need.
  2. At the top right of the report form, click the Create Credit Memo link.
    Result: The Create Credit Memo form opens.
  3. In the Create Credit Memo form, make sure all the credit memo data is correct and click Ok.


    Result: The Credit Memo invoice is created with the number which is marked with the "C" letter.


    Created Credit Memo invoice contains two rows for each item with different cost:
    - The 1st row includes the item with the cost from the Cost Exceptions report.
    - The 2nd row includes the same item, but with the cost that was agreed with the vendor (negotiated cost).

  • To view the negotiated cost history for the item, click its negotiated cost value in the report.
  • If you want to remove the identifiers from the item tags, such as Category or Department, select the Remove Numbers from Lists option and then click Refresh.
